THE PARTY PLANNING EQUATION

When planning any type of event, the same questions and concerns always arise. How much should I buy? Will I run out? What if I buy too much? Well, the Party Planning Beverage Equation should help remove some of the guesswork. It is best to assume that each guest will consume at least 1 beverage every hour during the course of an event. To estimate how many servings you will need to be prepared for, use the following equation.

NUMBER OF GUESTS X TOTAL EVENT HOURS = TOTAL # OF SERVINGS

For example, if you are expecting 50 guests and your event will last 4 hours, you will need to prepare for 200 servings (50 X 4 = 200). The beverage servings may consist of mixed drinks, beer, wine, soda or water. Ultimately, knowing the average consumption of your guests will increase the accuracy of your estimate.

Here is a quick rule of thumb:

-Each bottle of wine produces 5 servings
-Each 750mL bottle of alcohol produces 12 – 13 servings (avg 2 oz per drink) -Each bottle or can of beer produces 1 serving
Now, this equation is very simple to apply for events serving beer, wine, and soda only. However, for those events where mixed drinks will be served, the estimation gets a bit more complicated when you have drinks that require more than one liquor…but not impossible.
